Overseas wedding insurance

One of the first things to consider is contracting wedding insurance because most companies only allow you to do this within a few days of booking your wedding.

We always recommend our couples to contract one.
It's like fire insurance, you normally don't need it, until the day that you do.

Imagine for example, that you or a close relative gets sick, or has an accident shortly before the wedding.

Or any other unforeseeable event occurs which requires you to postpone or even cancel the wedding.

This would already create a big disappointment, and insurance makes sure that no financial consequences are added.

Some policies even cover the extra cost of changes in the plan if it rains on your wedding day ( which in Spain is extremely rare ) 
There can be vast differences between different companies and policies, so it's essential to compare.

The cost of wedding insurance is very acceptable.
To avoid a conflict of interest, we don't offer wedding insurances, but we do recommend contracting one.

We also advise you to recommend your guests to book travel insurance.

Decide on welcome dinner, activities and accommodations

The next important step is to decide on your wedding experience and essential information for your guests.

Your guests will appreciate your information about the things they need to know to start planning their attendance.

Travel recommendations such as which airline, perhaps even which flight, to which airport, recommended accommodation, the airport to accommodation transfer, etc.

If you're planning, or want us to plan a welcome dinner the evening before the wedding.
Or a brunch, activity or excursion the day after the wedding.

We also advise you to recommend your guests to book travel insurance.

When to send destination wedding save the date cards

Now it's time to send the 'save the date' cards.
It's a matter of courtesy to your guests, giving them as much time as possible to plan their attendance.

Couples nowadays often don't send snail mail cards, but instead, use social media.
 
Usually, a 'save the date' card would also include advising them not only of the date and the venue but also giving recommendations on travel arrangements, accommodation, etc...

But Yoep-P, our online wedding planner system takes care of that.

Therefore, we recommend keeping the save the date card as brief as possible, with only a reference and a link to Yoep-P, our online wedding planner system.

You can then share all the info you want on your personal guest welcome page in Yoep-P, which you can update as often as you wish.

Then, about 3-5 months before the wedding, you can send out the 'official' wedding invitations.

  • The first step is to write a welcome text for your guests.
  • Then it's time to create your guest list.
  • Yoep-P will send a personalised e-mail to each newly added family. If you add their mobile phone, they will also receive a text message. The mail and text message contains the link and their username and password.
  • Guests can then login where they can read all relevant info to start planning their attendance on your welcome page.
  • Calling or e-mailing to R.S.V.P is no longer necessary, as your guests can do it within Yoep-P.
  • And they can set their diet requirements and preferences. They can even inform us that they don't like fish, and we'll serve them an alternative dish.
  • You can contact us, send a message, or make an appointment for a video call or a personal meeting.
  •  In Yoep-P version 2.0, the system also contains your wedding plan and detailed info and prices of all our services and options.
  • Your guests will only be able to book the services you've selected for them. You could, for example, allow them to accommodation, airport transfer, rental car, hairdresser, makeup artist, welcome dinner and so on.
  • Approximately one month before the wedding, we close the planning during a final video call.

So you see, Yoep-P relieves the wedding couple of a lot of work and stress!

Planning process

The first step was to book your wedding date on our online calendar.

When done, the system has requested you to make an appointment with us.

During the 'start planning your wedding' video call or personal meeting, we'll ;

  • Answer your questions and doubts so you can decide on the wedding arrangement.
  • Help you choose your venue (if you haven't yet done so already)
  • Review your wedding plan with you.
  • Answer your questions about additional services or options.
  • Get you started in Yoep-P, our online wedding planner system.

Couples often book their wedding date before deciding on the venue.

If so, they can make that choice during the video call or during a personal visit to our venues.

Once the decision is made, we'll ask the venue to confirm in writing, and then the planning really gets started!

During the following weeks and months, you'll decide on all the services and options for your wedding.

All of them are 24/7 available in our online catalogue, with very detailed info and prices.

And we're here to help you every step of the way.

Planning and coordinating the services with your venues and vendors, and updating your wedding plan accordingly is free, in all our wedding arrangements.

As a general rule, we'll answer e-mails within maximum 3 business days, usually even faster. Only during the wedding season, when sometimes we have weddings every day, it can take a bit longer.

But we recommend making an appointment for a video call or a personal meeting in Altea, instead of e-mailing us. It's more personal, but more importantly, it's interactive. We can respond immediately to your questions, answer any new questions you may have, and discuss the options.

This saves time for you and for us.

The Cosy and Perfect wedding arrangements only include the start and the close planning video call, which can be enough.

If you've chosen one of these packages, you can request extra wedding planning e-mails, video calls or personal meetings in Altea at a nominal cost ;

  • video call of maximum 1.5 hours: 50€ + v.a.t.
  • A personal meeting in Altea with a maximum of 1.5 hours: 50 € + v.a.t.
  • E-mail : 5 € fix + 5 € per topic.

If you've chosen our Fantastic or Exquisite wedding arrangement, then you don't have to worry about these extra costs, since they're included.

 

We recommend taking decisions in order of importance.

It's advisable to decide early on all the services of vendors who can only do one wedding per day, like caterers, photographers, musicians and DJ.

Then, to decide on the services that are really important to you.

Finally, as the planning proceeds, and your budget is even more defined, decide on services that are of less importance to you, 

 

About 6 weeks before the wedding, we ask you to make an appointment for a 'close planning video call' or personal meeting, during which we'll;

  • Review your guest list and preferences in Yoep-P
  • Review your wedding plan with you.
  • Answer your questions about additional services or options and update your wedding plan accordingly.
  • Close the planning.

After the call, we'll make detailed briefings for your venue and vendors.

From then on, changes are always on request.

It's also the moment that the final countdown to your dream wedding in Spain starts because only a few weeks later it's time for you to travel to Spain.

Make travel arrangements for your wedding in Spain

Around October, most airlines publish their prices for the next spring, summer and fall, and most accommodations do the same.

So then it's time to start looking to make travel arrangements for your wedding in Spain.

Flying to the Costa Blanca

Prices of tickets can fluctuate enormously, increasing or decreasing as availability seats of a flight varies.

As a general rule, it's recommendable to book early.

However, if not too long before departure, the airline is left with a bunch of unsold tickets, prices may drop significantly.

The problem with a wedding is that you cannot wait until that last moment, because obviously, we can't do the wedding without you.

Costa Blanca Events is not a travel organisation, so one of the very few things we cannot do for you is book flights

The Spanish Costa Blanca has 3 international airports with daily flights from all over Europe operated by various regular and low-cost airlines making tickets cheap and easy to find.

Which airport to choose depends on your airport of departure, price of the tickets, etc... The 3 airports are;

1 ) Aeropuerto de Alicante (Code ALC)

This is a totally new airport, just south of Alicante, and it's the one we recommend.

For daytime arrivals, you can book a cheap bus transfer to various cities and hotels,

( see information below ) and various rental car agencies have their offices in the airport arrival hall, with rental car pick up in the airport parking.

However, it's essential to book with a reliable rental car company to avoid unexpected extra charges when you return the car.

2 ) Aeropuerto de Valencia - Manises (code VLC)

This recently partially newbuild, partially renovated airport, is approx 20 minutes from Valencia city centre.

From the airport, you can take a bus to the central bus station, where you can take a regular bus to various cities such as; Alicante, Altea, etc...

Unfortunately, the safety reputation of the central bus station is not very good.

Unless you travel in a group of 10 persons or more, the transfer to your accommodation will be substantially more expensive than from Alicante airport.

3 ) Aeropuerto de region de Murcia (Code RMU)

This totally new, small regional airport is located in the southern point of the Costa Blanca, near Mar Menor.

The airport is about a 1.5-hour drive to the main wedding venues and accommodations in the Costa Blanca, so it's not the most recommended airport,

but if there is a significant price difference for the tickets, then the extra cost of transfer may be worthwhile.

Group tickets

Some of the airlines also offer special conditions for groups of 10 or more passengers.

The most important advantage of these group conditions is usually not the price, if not the flexibility to book, change names, etc...

Instead of having to enter all the passenger info at time of booking, you can order a certain number of tickets, without specifying passengers names.

Then, a few months before departure, you can submit the names.

Since your guests have received a 'save the date card', have RSVP'd and have seen your guest info page in Yoep-P. Sending the invitations is only a 'formality'.

Most couples send them some 3-5 months before the wedding.

Finalise the planning of your wedding

About 6 weeks before the wedding, we always plan a 'close planning video call' or personal meeting, during which we'll;

  • Review your guest list and preferences in Yoep-P
  • Review your wedding plan with you.
  • Answer your questions about additional services or options and update your wedding plan accordingly.
  • Close the planning.

It's very important that at the end of the call, your wedding plan contains all the info about your wedding, up to the smallest details.
To avoid confusion, that final plan is the only document that will define your wedding, disregarding all other documents, emails, meetings, etc.
Based on that final plan, we'll make detailed briefings for venues and vendors.

From then on, changes are always on request.

It's also the right moment to check, and if necessary update the welcome text for your guests in Yoep-P.

When done, the final countdown to your dream wedding in Spain can start, because only a few weeks later it's time for you to travel to Spain.

Travelling with your wedding dress.

There are 5 options to get your wedding dress, and perhaps a few suits, to your destination.

1) Carry-on baggage
Travelling with your wedding dress as carry-on baggage is almost impossible.
Even if you would be able to get the dress inside the cabin luggage, it probably won't arrive in perfect condition.
 
Sometimes the captain allows for the dress to be transported separately in the cabin. It's a good idea to ask your airline about their policy on this matter. If they allow it, ask them to confirm this in writing, so that on the day of departure, there is no doubt about this.
 
Even with an e-mail at hand, the captain always has the last word, so we don't really recommend this option.

2 ) Book an extra ticket 
Some airlines (e.g. Ryanair) allow for you to buy an extra ticket, especially for a wedding dress, so can you keep it on the seat beside you.
 
3 ) In your check-in luggage.
Though this appears to be a good option, it's a risky one.
Every now and then, a suitcase gets lost or ends up somewhere else.
When going on vacation, that's not nice, but if it happens with the suitcase containing your wedding dress, it's a nightmare.

4 ) Bring it by car.
If one of your guests is driving to your wedding destination, it's a good idea to ask him to take your dress.
This is often the cheapest and the safest option.

5 ) Send it by courier
Carefully pack your dress, protect it against humidity.
Send it by courier/express parcel service to Costa Blanca Events, a few weeks before the wedding.
We'll keep the dress for you, so you can pick it up on arrival in Spain.
Additionally, we advise taking extra insurance, so that if anything goes wrong, the cost of the dress is refunded.

Welcome in Spain

After weeks and months of planning, now is finally the time to start enjoying your dream wedding in Spain.

You've probably pre-booked your airport to accommodation transfer, the only options left are taxis or rental cars.

Most flights arrive between 8, and 10 am, you can be in your hotel or accommodation around 11 am, too early to check-in.

Most hotels allow check-in from 16:00 h ( 4 pm ), but often rooms are already available between 12 - 14 h ( noon - 2 pm ). 

So, yes you can go to the hotel or accommodation, but you'll likely have to wait.

If you've booked hairstylist and make-up artist via us, then you've also received the appointment for the test, which is done one or more days before the wedding.

If you've booked a welcome dinner with us, then that's the moment the experience will start for your guests too.

It also shows the detailed timeline of the day.

But from the moment your wedding coordinator arrives, he'll guide you and your guests through the day, answering your questions and doubts.

Delivery of photos and video

We understand that you're anxious to show the photos of your wedding to family and friends.

For a photographer, optimising and editing all your photos is a huge task.

Many photographers only deliver their photos a year(!) or even more after the wedding.

With Costa Blanca Events, you'll have your first selection of about 20 photos in maximum 7 business days after the wedding.

The remaining photos will follow later, depending on the photographer and package you've chosen.
